## Security: ISO 27001, SOC 2, and regional hosting

Put Arphie and Responsive through the same three questions a security reviewer will ask: ISO 27001, SOC 2, and whether you can keep the tenancy in the US or the EU. Cells say **Not listed** when we could not find the claim on a public vendor page.

__Confirm certificates and residency on the vendor site or Trust Center before a formal review. Responsive: AWS hosting can be elected in the United States, Canada, the United Kingdom, Australia, Singapore, or the European Union. Azure and Google Cloud entries on the same list are United States only.__

## Slack and Microsoft Teams

During a live questionnaire, SMEs get pinged in Slack or Teams, not in a vendor portal. Here is what Arphie and Responsive publish for those two connections.

## Subprocessors: the big three clouds, then the niche names

Compare Arphie and Responsive on AWS, Azure and GCP first. Then scan for niche processors a reviewer should pause on: third-party LLMs, session replay, or support that leaves the region you elected.

**Short answer:** Pick Arphie if a presales or security team needs fast, cited first drafts from documents it already keeps current, and it does not want to run a platform to get them. Pick Responsive if you are running a response operation (intake requests, multi-team approvals, e-signature, AWS hosting in six regions) and need a published floor of $10,000 a year for the platform fee to start the budget conversation. The deciding facts are scope and buying model: Arphie does one job with fewer moving parts, and Responsive does the whole job with more lines on the invoice.

[Responsive](/responsive) is the incumbent with the widest footprint in this category. It launched as RFPIO in 2015 in Beaverton, Oregon, renamed itself in 2023, and bought RFP360, InHub and Bidhive along the way. Its about page claims more than 500 employees, nearly 2,000 customers and more than 300,000 users, and its homepage features Microsoft, Tenable and Haworth. All vendor figures, as of October 2026.

[Arphie](/arphie) is a San Francisco challenger with a $2.9 million seed round led by General Catalyst, announced in November 2024\. It sells to sales engineering, security, proposal and investor relations teams, and its whole pitch is that drafts should come from your live documents rather than from a library somebody has to feed.

## Key takeaways

- **Scope:** Responsive’s Growth edition adds intake requests, LookUp, e-signature, advanced access controls and flexible hosting on top of response projects. Arphie sticks to drafting, review, deadlines and analytics for RFPs, DDQs and security questionnaires.
- **Published price:** Responsive’s Emerging edition starts from $10,000 a year as a platform fee, plus user licenses and add-ons, with a 12-month minimum as standard. Arphie publishes no price (both checked October 2026).
- **Checking AI answers:** Responsive scores AI output with a TRACE Score for accuracy, relevance and traceability. Arphie shows sources, a confidence level and a step-by-step trail of how each answer was reached.
- **Data residency:** Responsive customers can elect AWS hosting in 6 regions: the US, Canada, the UK, Australia, Singapore or the EU. Arphie does not publish its hosting regions.
- **Review standing:** As of October 2026, Responsive holds 4.5/5 from 1,312 G2 reviews and Arphie 4.9/5 from 26\. Responsive also holds 4.5 out of 5 from 190 reviews on Capterra.
- **Limitations:** Arphie gates SAML single sign-on to Enterprise customers and lists no Microsoft Teams app. Responsive’s Capterra reviewers report export cleanup and suggested answers that miss the question.

## One job, or the whole response operation

Start with what you are actually buying, because these two are not the same size.

Responsive is built to run a response function end to end. Its pricing page lays the editions out plainly. Emerging covers unlimited response projects, an AI and automation studio, unlimited content and collaboration, integrations, access control, admin and reporting. Growth adds intake requests (so a sales rep can ask for an RFP response through a form), LookUp for frontline access to content, e-signature, advanced integrations and flexible hosting. Enterprise adds flexible custom AI, enterprise security controls, advanced reporting and premium connectors. A Trust Center, for sharing prefilled questionnaires and documents, sits alongside.

Arphie is built to make the drafting part fast and checkable. Its features page covers import from Excel and Word with AI detection of questions and sections, rich-text editing with images and tables, roles such as owner, writer and reviewer, deadline tracking down to the question, and export back into the original file. A quick-ask agent answers one-off questions in the app or in Slack. There is no intake form, no e-signature and no content-sharing portal.

That gap is the decision for most teams. If your RFP process begins with a rep’s request and ends with a signature, Responsive covers more of the path in one contract. If your process is “the SE gets a 250-question spreadsheet on Tuesday and it is due Friday,” the extra modules are furniture you pay for and walk around.

## How each one tells you an AI answer is safe to send

Both vendors take AI answer quality seriously. They show it differently, and the difference matters to whoever signs off.

Responsive splits AI into agents. One shreds RFPs, DDQs, vendor security questionnaires and long-form questionnaires into requirements. An import agent, which Responsive calls patented, organizes complex assessments on the way in. A writing agent drafts from “trusted content and prior successful responses.” Then the TRACE Score rates each AI answer for accuracy, relevance and traceability, so reviewers can triage. Agent Studio lets you build your own no-code agents from templates, which is useful if you have repetitive work that does not fit the defaults.

Arphie keeps it to one visible trail. Each draft shows the exact sources it used and a confidence level, and Arphie says you can follow, step by step, why its agents answered the way they did. You can steer tone and vocabulary with project-level or organization-level instructions. Its analytics then show what share of AI answers your team had to edit, which is a quiet but useful number at renewal time.

Neither approach removes review. A score tells you where to look first; a trail tells you why an answer looks the way it does. In a trial, take one security questionnaire you answered last quarter, strip the answers, and count how many answers each tool flagged as low confidence that really were wrong. That number beats any demo.

One more practical difference: what feeds the drafts. Responsive’s writing agent leans on your Content Library and past responses. Arphie reaches into Google Drive, SharePoint, Confluence, Notion, Box, Dropbox, Egnyte, Seismic, Highspot, Front help pages and public web pages directly. If your library is current, that reach matters less. If it is not, it matters a lot.

## Where your data goes: regions, models and paperwork

This is the section your security reviewer will read first, and it splits cleanly.

Responsive publishes more. Its subprocessor list says customers can elect AWS hosting in the United States, Canada, the United Kingdom, Australia, Singapore or the European Union. The same list names OpenAI, using GPT, for generative writing assistance. That is specific, and specific is good: your privacy team knows exactly which model provider to assess. Note that the pricing page lists flexible hosting options from the Growth edition up, so confirm the region is in your edition.

Arphie publishes less, but says something useful. Its security page says it has enterprise agreements with OpenAI and Anthropic for zero data retention, that customer data is not used to train models, and that it hosts on SOC 2 compliant cloud providers across multiple availability zones. It has an annual SOC 2 Type 2 audit and annual third-party penetration testing. What it does not publish is a hosting region list.

So if a buyer in Singapore or Australia asks where your answers are stored, Responsive gives you an answer from a public page. With Arphie, ask before you sign.

On single sign-on, Arphie’s security page supports SAML 2.0 and Google authentication with Okta, OneLogin, Azure and ADFS, but describes it as a feature “for Enterprise customers.” Responsive lists Okta among its SSO integrations and puts enterprise security controls in its Enterprise edition.

## The rest of the stack: CRM, GRC tools and AI assistants

Responsive has the bigger catalog; Arphie has a couple of connections Responsive does not list.

Responsive’s integrations page counts 32 integrations, “20+ native integrations and 75+ APIs,” including Salesforce, HubSpot, Microsoft Dynamics, Zoho, Slack, Microsoft Teams, SharePoint, Google Drive, Seismic, Highspot, Confluence, Door for DDQs, Whistic for vendor assessments, and Word, Excel, PowerPoint and Outlook add-ins. “Responsive on ChatGPT” brings approved knowledge into ChatGPT. The catch is on the pricing page: “CRM and API integrations” and “MCP Server & Connectors” are listed as add-ons.

Arphie’s list is shorter and more source-heavy. Salesforce lets you create an Arphie project from an opportunity. Slack gets notifications and the quick-ask agent. Vanta is the standout for security teams: Arphie says it taps the compliance evidence and controls you already keep there, and Responsive’s integrations page does not list Vanta. Arphie’s MCP server connects its data to Claude, ChatGPT and Cursor, and lets you check project status and workload from an IDE or terminal.

The gaps to check: Arphie lists no Microsoft Teams, HubSpot or Dynamics connector. If your CRM is HubSpot or your experts live in Teams, Responsive covers that and Arphie, on its published list, does not.

## Pricing, contract terms and who signs off

**Responsive** prices in three parts: an annual platform fee, user licenses and add-ons and services. The Emerging edition starts from $10,000; Growth and Enterprise are quoted. Every edition includes unlimited response projects. The FAQ says a minimum of 12 months is standard, a proof of concept is provisioned only “for qualifying situations,” and standard support runs 24 hours a day, Monday to Friday, excluding US and Indian public holidays. The FAQ also mentions a Lite Edition, though it does not appear among the edition cards. Add-ons include the MCP server and connectors, CRM and API integrations, custom reporting and premium onboarding.

So $10,000 is the floor for the platform, not the bill. Add licenses for every admin, contributor and SME who touches a project, then the add-ons you need.

**Arphie** publishes no price, no plan names and no trial. Every path runs through its contact form. Its FAQ says switching from another RFP tool usually takes under a week with white-glove onboarding; G2 reviewers put average implementation at 1 month (October 2026).

Who signs off is the practical question. Responsive’s model, with a published floor and named editions, suits a procurement process that wants a number early and a platform owner who will run it. Arphie’s suits a team lead who can take a custom quote to a budget holder and does not need intake or e-signature in scope. Ask Arphie what drives the price (seats, projects or volume) and whether SSO means an Enterprise contract.

Both vendors publish speed and ROI claims on their own pages. None is independently audited, so we have left them out.

## Who the public stories are written for

The customer names tell you which buying committee each vendor has actually stood in front of.

Responsive’s homepage, checked October 2026, puts named proposal operators next to the product. Dawn Garrison is Director of Proposal Management at Lighthouse. Nick DeMarco is Sr. RFP Content Writer at Payscale. Andrew Mersman is Senior Director of Solution Consulting at Netsmart. Microsoft, Tenable and Haworth sit on the same page. Those are people whose job is the response, not a side task squeezed between demos. The Office add-ins match that buyer. The integrations page describes Excel, PowerPoint and Outlook as places to work with AI-recommended content inside the app you already have open.

Arphie’s case-study index, checked the same month, is shorter and newer. The published stories run from January to July 2026 and name Cyberhaven (22 July 2026), Recorded Future (22 July 2026), BillingPlatform (21 May 2026), Betterworks (17 March 2026), Ivo (16 February 2026) and OfficeSpace Software (28 January 2026). The index is written for sales engineering and go-to-market teams. On the product side, the features page’s Smart Merge proposes merging duplicate answers and prefers the more recently updated one. That is library hygiene inside a tool whose pitch is that you should need less of a library.

Both lists are a real strength, of different kinds. Responsive can hand a buying committee a proposal leader with a title and a decade-old category behind the logo. Arphie can hand an SE team six stories from this year and a lighter product. A committee that wants a peer in proposal operations will feel safer with Responsive. A committee that is the SE team will recognize itself on Arphie’s list. The homepage speed and ROI figures attached to those names are each vendor’s own, so they are not repeated here.

## Known issues and limitations

### Arphie

- **No public price or trial:** quotes come through the [contact form](https://www.arphie.ai/contact), with no free tier or self-serve plan (checked October 2026).
- **SSO behind Enterprise:** the [security page](https://www.arphie.ai/security) says SAML 2.0 and Google SSO are provided “for Enterprise customers” (checked October 2026).
- **Generation speed:** several [G2 reviewers](https://www.g2.com/products/arphie/reviews) between June and September 2026 say AI answer generation on a project takes a while to finish.
- **Narrower ecosystem:** the [integrations page](https://www.arphie.ai/integrations) lists no Microsoft Teams, HubSpot or Dynamics connector, and the [security page](https://www.arphie.ai/security) names no hosting regions (both checked October 2026).

### Responsive

- **Layered cost and term:** platform fee from $10,000, plus user licenses and add-ons, a 12-month minimum as standard and a proof of concept only for qualifying situations, per the [pricing page](https://www.responsive.io/pricing) (checked October 2026).
- **Export cleanup:** [Capterra reviewers](https://www.capterra.com/p/148054/Responsive/reviews/) in April 2026 describe extra hours fixing formatting when exporting into templates and back to the original file (checked October 2026).
- **Suggestions that miss:** Capterra reviewers in March and April 2026 report auto-suggested answers that do not answer the question or do not pull in accurately, per the same [Capterra page](https://www.capterra.com/p/148054/Responsive/reviews/).
- **Setup load:** an April 2026 Capterra reviewer describes a substantial time investment to configure and organize more than 20 templates, which fits a platform with this many modules.

## Choose Arphie when

- The people answering are sales engineers or security analysts, not a dedicated proposal department, and they need first drafts more than workflow.
- Your current answers live in Google Drive, Confluence, Seismic, Highspot or product web pages, and keeping a library in sync is the chore nobody owns.
- Your SOC 2 evidence and controls live in Vanta.
- You want to see how much of the AI’s output gets edited, and your team would use an MCP server from Claude, ChatGPT or Cursor.
- Your stack is Salesforce and Slack, and an unpublished price with a sales-led start is acceptable.

## Choose Responsive when

- You run a response operation with intake requests, multi-team approvals and e-signature, and you want them in one contract.
- Buyers ask for hosting in Canada, the UK, Australia, Singapore or the EU, and you can budget for the edition that includes flexible hosting.
- Your CRM is HubSpot, Dynamics or Zoho, or your experts work in Microsoft Teams and Office add-ins.
- You want a Trust Center to deflect questionnaires, or Agent Studio to build your own agents.
- Finance needs a published floor ($10,000 platform fee on Emerging) before the first call, and a 12-month term is fine.

## Verdict

Different jobs, mostly. Responsive is a response platform for organizations that treat RFPs as an operation, with the editions, regions, connectors and add-ons that implies. Arphie is a sharp drafting tool for teams that treat questionnaires as an interruption to their real work and want the first pass to come from documents they already maintain.

Pick Responsive for breadth, residency and a budget you can model. Pick Arphie for speed to a cited first draft, Vanta, and a lighter footprint, after you confirm SSO, hosting and price in writing. Or as a colleague might put it: Responsive if you need a building, Arphie if you need a really good desk.

## Frequently asked questions

What is the difference between Arphie and Responsive?

Arphie is a focused drafting tool for RFPs, DDQs and security questionnaires that reads from live sources such as Google Drive, Confluence, Seismic and Vanta. Responsive (formerly RFPIO) is a broader response platform: AI agents for analysis, import and writing, plus intake requests, LookUp, e-signature and a Trust Center, with a TRACE Score on AI answers.

Which is cheaper, Arphie or Responsive?

Only Responsive publishes a number: its Emerging edition starts from $10,000 a year as a platform fee, with user licenses and add-ons on top and a 12-month minimum term as standard (October 2026). Arphie publishes no price and quotes through its contact form, so you need a written quote before you can compare.

Which is better for security questionnaires, Arphie or Responsive?

Both handle them. Arphie's security-teams page names SIG, CAIQ, Excel questionnaires with macros and online portals, and it can draft from compliance evidence in Vanta. Responsive lists a Whistic integration for vendor assessments and a Trust Center for sharing prefilled questionnaires, which suits teams that want to cut inbound volume as well as answer it.

Where is my data hosted, and which AI models see it?

Responsive lets customers elect AWS hosting in the US, Canada, the UK, Australia, Singapore or the EU, and its subprocessor list names OpenAI's GPT for writing assistance. Arphie says it has zero data retention agreements with OpenAI and Anthropic and hosts on SOC 2 compliant cloud providers, but does not publish hosting regions on its security page.

Can I trial Arphie or Responsive before buying?

Responsive says it provisions a proof of concept for qualifying situations rather than offering a standard free trial (October 2026). Arphie publishes no trial, free tier or self-serve plan; every evaluation starts with its contact form.

Should I choose Arphie or Responsive?

Choose Arphie if a presales or security team needs strong first drafts from scattered, current documents without standing up a platform. Choose Responsive if you run a response operation with intake, approvals, e-signature, data residency outside the US and a budget line you can set before the first call.

Do Arphie and Responsive list ISO 27001, SOC 2, and US or EU hosting?

Arphie: ISO 27001 Not listed, SOC 2 SOC 2 Type 2, US Not listed, EU Not listed, Slack Slack, Teams Not listed, clouds Not listed. Responsive: ISO 27001 ISO 27001:2022, SOC 2 SOC 2 Type II, US Yes (customer-elected AWS region), EU Yes (customer-elected AWS region), Slack Slack, Teams Microsoft Teams (Responsive Bot), clouds AWS, Azure, GCP. Confirm both on the vendor sites.
