- Strong design output from locked templates, so reps change prices and names rather than layouts.

## Security: ISO 27001, SOC 2, and regional hosting

Put Better Proposals and Proposify through the same three questions a security reviewer will ask: ISO 27001, SOC 2, and whether you can keep the tenancy in the US or the EU. Cells say **Not listed** when we could not find the claim on a public vendor page.

## Subprocessors: the big three clouds, then the niche names

Compare Better Proposals and Proposify on AWS, Azure and GCP first. Then scan for niche processors a reviewer should pause on: third-party LLMs, session replay, or support that leaves the region you elected.

**Short answer:** If you are a freelancer, agency or small business, [Better Proposals](/better-proposals) does almost everything [Proposify](/proposify) does for a fraction of the price: $21 per user per month billed annually for CRM search, a custom domain and white-labelled proposals. If you run a sales team and a manager needs proposals held for approval when a discount crosses a line, Proposify is built around that, and its Grow plan ($3,900 a year with 5 seats) is where it starts. Price and team size decide this pair more than features do.

On paper these two are close cousins. Both are template-first, both send a designed proposal the client opens in a browser, both include signatures and payments, both tell you which section a prospect read, and both meter how many documents you send. They are both priced per seat with a design service on the side, and even their custom template design fees land within five dollars of each other.

The difference is who they sell to. Better Proposals’ pricing page talks to “any small business” and “sales teams” with plans from $13\. Proposify’s talks about “control over what goes out” and starts at $35\. Everything below comes from each vendor’s pricing page in October 2026 plus dated review data. Neither tool answers inbound RFPs, DDQs or security questionnaires.

## Key takeaways

- **Price ladders:** Better Proposals is $13, $21 and $42 per user per month billed annually ($19, $29 and $49 monthly). Proposify is $35 per user per month on Build, then $3,900 a year for 5 seats on Grow and $12,800 a year for 10 seats on Scale.
- **Send limits on both:** Better Proposals allows 10, 50 or unlimited sends a month by plan. Proposify includes 10, 30 or 75 a month, then charges $0.30 to $0.75 per extra send.
- **Approvals:** Proposify’s approval rules (price total, discount percentage, line-item discount) come with Grow. Better Proposals’ manager approvals come with Enterprise at $42 per user.
- **Every-plan basics:** both include signatures, a content library and section-level read analytics on the entry plan; Better Proposals also includes Stripe, GoCardless and PayPal payments on Starter.
- **Review standing:** Better Proposals 4.8/5 on Capterra from 166 reviews; Proposify 4.6/5 on G2 from 1,138 reviews (both July 2026).
- **Limitations:** Better Proposals Starter is a one-user plan and its help center warns PDFs can differ from the web version; Proposify’s controls start at a five-seat annual plan, and Capterra reviewers report clunky editing for both tools.

## Same shape, different buyer

**Better Proposals** is built for the person who is both the salesperson and the account manager. It ships more than 260 free templates, a Word Doc Importer, unlimited brands in one account, and a set of post-signature tools that most proposal software ignores: book a call, fill in a project form, get redirected, pay a deposit. Its “accept without signing” button lets a client say yes in one click when a formal signature is overkill. It says more than 10,000 businesses and freelancers use it.

**Proposify** is built for the sales manager who has watched a rep give away 30% on the last day of the quarter. Roles and permissions decide who can create and send; locked pages and elements stop reps changing the terms; approval rules hold a proposal when the total or discount crosses a threshold; a product catalog keeps prices consistent. Account metrics show time to first view and time to close by user.

You can run a sales team on Better Proposals Enterprise, and plenty of small businesses run happily on Proposify Build. But the defaults tell you who each vendor has in mind.

## Pricing and total cost

| ------------------------ | ----------------------------------------------- | ------------------------------------------------------------------- |
| Solo | Starter: $156 a year (1 user, 10 sends a month) | Build: $420 a year (10 sends a month) |
| 3 users, CRM | Premium: 3 x $21 x 12 = $756 a year | Build: 3 x $420 = $1,260 a year |
| 5 users with approvals | Enterprise: 5 x $42 x 12 = $2,520 a year | Grow: $3,900 a year |
| 10 users with Salesforce | Enterprise: $5,040 a year | Scale: $12,800, or Grow + 5 seats + Salesforce add-on, about $8,880 |

Better Proposals is cheaper in every row, often by half. Two caveats keep it honest.

First, Better Proposals’ Premium plan caps the whole account at 50 sends a month. A five-person team sending three proposals a week each will blow through that and need Enterprise, which doubles the seat price. Proposify’s send meter works differently: you keep sending and pay overage ($0.30 per extra send on its mid tier, by its pricing table), so heavy months cost a little more instead of forcing a plan change.

Second, Proposify’s Grow and Scale include things Better Proposals does not list, such as account metrics broken down by user, multiple workspaces for franchise-style businesses (Scale), SSO through Okta or Azure (Scale), and premium onboarding with a dedicated success manager (Scale).

Both sell design help: Better Proposals’ custom template design starts at $1,495, Proposify’s is $1,500 or $2,000 as part of a Launch Kit with onboarding and 30 days of priority support. Better Proposals’ Nudge follow-up add-on is $10 per user per month; Proposify’s Salesforce and Aspire integrations are $9 per user per month each as add-ons.

## Templates, editor and brand

Both are template-first, and both have editors that some reviewers find fiddly. The difference is in how much they hand you on day one.

**Better Proposals** starts you with more than 260 free templates covering proposals, quotes, contracts, brochures, statements of work and job offers, and lets you save unlimited templates on every plan. The Doc Importer converts existing Word documents. Brand controls include unlimited brands per account, custom fonts, Adobe Fonts sync, more than 1,500 Google Fonts, multiple currencies and custom document types. Merge tags, default and custom, fill in deal details automatically. Its pricing FAQ says the product handles font spacing and color schemes by default, which is the right promise for someone who does not want to think about kerning.

**Proposify’s** drag-and-drop editor handles text, images, video, tables and shapes, and its content library stores reusable sections, snippets and images. Custom fields and variables arrive on Grow. The emphasis is less on a huge template gallery and more on locking a template you designed (or paid Proposify to design) so reps can only change what they should.

Here is the pattern: Better Proposals gets a non-designer to a decent proposal fastest. Proposify keeps a designed proposal intact across a team best. Both have reviewers on Capterra who find the editor clunky, so build one real proposal in each trial before you judge.

## Trials and support

Both offer a 14-day free trial with no credit card. Proposify’s trial covers Build; Grow and Scale, where its approvals and roles live, are sold through a demo, so you will need to ask to see the control features on your own pricing. Better Proposals lets you test any plan, and its FAQ says you can upgrade or downgrade whenever you want.

Support models differ. Better Proposals’ pricing page promises live chat with a human and a two-minute response time, and offers a personalised onboarding call to accounts with three or more users. Proposify lists email and chat support Monday to Thursday 8 AM to 8 PM Eastern and Fridays 8 AM to 4 PM, with phone and Zoom help, and a dedicated success manager plus priority support on Scale. If your team works across time zones, the long chat hours (the page lists both 20 and 24 hours a day) are a small but real point for Better Proposals.

## Control: approvals, locking and roles

This is the one area where Proposify is clearly ahead at the mid tier.

**Proposify Grow** includes custom roles, permissions and user groups, locked pages and page elements, and approval workflows whose conditions can be the price total, the discount percentage or a line-item discount. Collaborators (who can edit or approve specific proposals but cannot create or send) are included at 1, 3 and 5 across its tiers.

**Better Proposals** puts its team controls on Enterprise: content locking, simultaneous editing, inline commenting, manager approvals and advanced user permissions. Its manager approvals send documents for feedback and approval before they reach the client, and Teams let you assign managers and set team permissions. What its pricing page does not describe is approval rules triggered by discount or price thresholds, so if that is your requirement, ask to see it.

If you have one or two senders and you trust them, none of this matters and Better Proposals Premium is the obvious buy. If you have ten reps and a margin target, Proposify’s approval rules are worth the premium.

## After the send: analytics, follow-up and onboarding

Both tools are strong here, with different extras.

**Better Proposals** shows, on every plan, when a client received, opened, read, forwarded, downloaded and signed, and which sections they read longest, with in-app and email notifications. Company, team and user reports start on Premium. Nudge (an add-on) gives you a single screen of who to follow up with today. After signature, onboarding flows can book a call, collect information through forms and redirect, which saves a round of emails for service businesses.

**Proposify** shows a per-recipient timeline of opens and time spent in each section, with email notifications. Account metrics on Grow add time to first view, time to create and time to close, by date and user. Scale adds custom reporting with a full CSV export.

Better Proposals wins on post-signature onboarding. Proposify wins on manager-level reporting at the mid tier.

## Integrations, AI and payments

- **CRM:** Better Proposals lists CRM contact search from Premium and its HubSpot and Salesforce “Advanced” integrations, which update deal stages and create documents from the CRM, on Enterprise. Proposify includes CRM integrations from Build, with its Salesforce managed package included on Scale or sold as an add-on.
- **Payments:** Better Proposals includes Stripe, GoCardless and PayPal on every plan. Proposify processes payments through Stripe.
- **Automation:** Better Proposals offers API and Zapier from Premium, plus project management and live chat integrations. Proposify includes a workflow automation builder from Build and API access from Grow.
- **AI:** Proposify lists AI writing and an MCP server (connecting Proposify to Claude) on every plan. Better Proposals’ pricing page does not list an AI writing feature.

## Security

Proposify’s pricing page states SOC 2 Type 2 certification (security, availability and confidentiality criteria), GDPR compliance, and Stripe for payment processing. SSO through Okta, Azure and similar providers is on Scale.

Better Proposals’ security page describes AWS hosting, AES-256 encryption at rest and in transit, hourly encrypted backups and regular penetration testing by CREST-approved testers, with two-factor authentication and password-protected documents on every plan. The ISO 27001 and SOC 2 references on that page describe AWS’s data centers rather than an audit of Better Proposals itself. If your clients’ procurement teams ask for a SOC 2 report on your proposal tool, that is a point for Proposify.

## Known issues and limitations

### Better Proposals

- **Starter is one user:** Starter allows 1 user and 10 sends a month, and Premium caps the account at 50 sends a month, per its [pricing page](https://betterproposals.io/pricing) (checked October 2026).
- **Team controls on the top plan:** manager approvals, content locking, simultaneous editing and inline commenting are Enterprise-only, per its [pricing page](https://betterproposals.io/pricing) (checked October 2026).
- **PDF drift:** its own [help center](https://help.betterproposals.io/en/articles/1922520-online-and-pdf-version-differences) says PDF versions can differ from the online proposal (checked October 2026).
- **Editor complaints:** [Capterra reviews](https://www.capterra.com/p/153794/Better-Proposals/reviews/) from December 2023 to April 2026 describe a clunky editor with limited layout options (checked October 2026).

### Proposify

- **Metered sends with overage:** every plan has a monthly send limit and per-send overage fees, per its [pricing page](https://www.proposify.com/pricing) (checked October 2026).
- **Controls start at five seats, annually:** roles, approvals and API access begin on Grow at $3,900 a year; Salesforce and SSO need Scale or an add-on, per its [pricing page](https://www.proposify.com/pricing) (checked October 2026).
- **Editor friction and price for small teams:** [Capterra reviews](https://www.capterra.com/p/133332/Proposify/reviews/) from September 2024 to April 2026 mention clunky editing, poor formatting when pasting from Word, and pricing that feels high for small teams (checked October 2026).

## Choose Better Proposals when

- You are a freelancer, agency or small business and price per seat matters.
- You want payments by Stripe, GoCardless or PayPal and client onboarding (call booking, forms) right after signature.
- You run several brands or client accounts and want them in one workspace.
- Your team sends fewer than 50 proposals a month, or can justify Enterprise for unlimited sends.
- You do not need discount-threshold approval rules.

## Choose Proposify when

- A sales manager needs proposals held for approval when price or discount crosses a rule.
- You want account-wide metrics by user (time to first view, time to close) without buying the top plan.
- Clients or IT ask for a SOC 2 Type 2 report on your proposal tool, or you need SSO.
- You want AI writing and an MCP server on every plan.
- You have at least five senders, so Grow’s included seats are not wasted.

## Verdict

Same job, different budgets and team shapes. Better Proposals is the better value for small businesses and agencies: more included on cheap plans, payments and onboarding built in, and a price that is often half of Proposify’s. Proposify is the better tool for sales teams that need governance: discount-based approvals, roles and manager reporting at its mid tier, plus a SOC 2 Type 2 report.

If you are a team of one to three, start with a Better Proposals trial. If you are a team of eight with a margin problem, start with Proposify. If you are somewhere in between, count last month’s sends first, because both send limits will shape your bill.
