## Security: ISO 27001, SOC 2, and regional hosting

Put DeepRFP and RFP Response Builder through the same three questions a security reviewer will ask: ISO 27001, SOC 2, and whether you can keep the tenancy in the US or the EU. Cells say **Not listed** when we could not find the claim on a public vendor page.

## Subprocessors: the big three clouds, then the niche names

Compare DeepRFP and RFP Response Builder on AWS, Azure and GCP first. Then scan for niche processors a reviewer should pause on: third-party LLMs, session replay, or support that leaves the region you elected.

One of these tools writes for you. The other helps you reuse what you already wrote. [DeepRFP](/deeprfp) is an AI drafting workspace: upload the RFP and your reference material, and it produces analysis, compliance matrices and a first draft. [RFP Response Builder](/rfp-response-builder) is a content library that lives inside Microsoft Word and Excel: you search approved answers from a side panel and insert them, with the formatting cleaned up for you. It does not generate text.

Both are cheap by category standards, both publish prices, and both are built for small and mid-size teams. That is why they end up on the same shortlist. But they suit different habits, and a team that buys the wrong one tends to find out within a week. We checked both vendors’ pricing, product and trial pages in October 2026.

## Key takeaways

- **Core job:** DeepRFP drafts new text with AI from your RFP and uploaded content. RFP Response Builder inserts curated library content into Word and Excel documents and automates formatting; it has no generative AI drafting.
- **Pricing:** DeepRFP Pro is $89 per user per month and Elite $149, billed monthly, cancel anytime, with yearly plans at 12 months for the price of 10\. RFP Response Builder’s Business plan is $39 per user per month with a 5-user minimum, paid by credit card with 30 days’ notice to cancel.
- **Smallest bill:** One DeepRFP Pro seat is $89 a month. RFP Response Builder’s minimum is five seats, or $195 a month, plus $5 per user per month if the vendor hosts your project files after the trial.
- **Platform:** DeepRFP runs in the browser. RFP Response Builder is a desktop add-in that must be installed on Windows with Office for Windows; Mac users need Parallels or Boot Camp.
- **Maturity:** RFP Response Builder dates back to 2003 and holds a 4.5/5 on G2 from 56 reviews (as of July 2026). DeepRFP, founded in 2023, has a 5.0/5 Capterra score across six reviews (October 2026).
- **Limitations:** DeepRFP says it may not fit teams that need deep CRM or Microsoft 365 integrations or SSO. RFP Response Builder puts Salesforce and other custom integrations on its quote-only Enterprise plan.

## Two philosophies of reuse

Every proposal team reuses content. The question is who does the reusing.

RFP Response Builder assumes a person does it, and makes that person fast. Its [home page](https://rfpresponsebuilder.com/) describes a library you search “from a panel that pops out from within Microsoft Word,” by category, sub-category or keyword. You insert text, tables or graphics, and the tool adjusts the content to the target document’s style automatically. New content is “auto-cleaned” when it goes into the library. Contributors can submit content for review, editors and admins approve it, and you can view expired content and update it. It is the classic library model, done inside the tools people already have open.

DeepRFP assumes the AI does the first pass. Each opportunity gets a workspace where you upload the RFP, forms, past proposals, company content and rates. The AI analyzes requirements and risks, builds a compliance matrix, drafts responses to DOCX, answers Excel forms, and reviews drafts for compliance and clarity. Its “Company Library” is reference material for the AI, not a list of approved answers someone maintains line by line.

Neither is wrong. A library tool gives you control and consistency: the answer that goes out is the answer legal approved. An AI drafting tool gives you speed on questions you have never answered before, at the cost of a careful edit.

## What happens when an RFP lands

**On RFP Response Builder:** You open the RFP in Word or Excel. For a long narrative RFP, you can split it into sub-documents, assign each to a team member with a due date, and let the tool auto-assemble the combined response when everyone is done. Each writer searches the library, inserts the closest approved answer, and edits it to fit. The cloud dashboard tracks tasks and due dates from a browser or phone. For new questions, someone writes from scratch, and if the answer is good, it goes back into the library.

**On DeepRFP:** You create an opportunity and upload the RFP and supporting files. You run the RFP analysis to get the requirements, deadlines and risks, generate a compliance matrix, then ask the drafting agent for a first version. The review feature critiques the draft before a human edits it. Excel questionnaires go through the form-answering feature. Then you take the DOCX into Word for final formatting.

The time profile is different. RFP Response Builder is fastest on familiar questions and slowest on new ones. DeepRFP is fast on everything, then needs a human read. Three of its six Capterra reviewers (all June 2026) say exactly that: the output is useful, and it still needs checking against the solicitation.

## Office, Windows and where your files live

This is the practical filter many teams miss.

RFP Response Builder’s [free trial page](https://rfpresponsebuilder.com/free-trial) says it is “enterprise software that requires a download to the desktop,” which “must be installed on a Microsoft Windows machine (or a Mac with Parallels or Boot Camp) with Microsoft Office for Windows installed.” Content syncs between desktops through the vendor’s cloud on Amazon Web Services, and because the library is stored locally, you can work offline. Project files can live on a network drive, in SharePoint, or in the vendor’s cloud.

If your team is on Macs, or on Office for the web, that requirement can end the evaluation on its own.

DeepRFP is a web app. It runs in any modern browser, and its output comes back as Word and Excel files. There is no add-in to install and nothing to sync, which also means no offline mode and no in-Word library panel.

## The pricing math

Both price lists are short, which makes the comparison easy. Here is the monthly cost at a few team sizes, using the published prices only.

| Team size | RFP Response Builder Business | DeepRFP Pro | DeepRFP Elite |
| --------- | ----------------------------- | ----------- | ------------- |
| 1 user | $195 (5-user minimum) | $89 | $149 |
| 2 users | $195 (5-user minimum) | $178 | $298 |
| 3 users | $195 (5-user minimum) | $267 | $447 |
| 5 users | $195 | $445 | $745 |
| 10 users | $390 | $890 | $1,490 |

Add $5 per user per month to RFP Response Builder if the vendor hosts your project files after the trial. DeepRFP’s yearly plans cut its figures by about a sixth (12 months for the price of 10).

The crossover sits at three users. Below that, DeepRFP costs less than RFP Response Builder’s five-seat minimum. At three and above, RFP Response Builder’s per-seat price is far lower, though you are paying for a different product.

Terms matter too. DeepRFP is month to month and cancel anytime. RFP Response Builder has no long-term contract but asks for 30 days’ notice. It offers volume discounts above 20 licenses. Its Enterprise plan, quote only, adds custom coding, custom integrations including Salesforce, and premium onboarding. Integration services are not included in the Business plan or the trial, per its [pricing page](https://rfpresponsebuilder.com/pricing).

## Content upkeep: who keeps the answers current?

This is where the two products ask for different kinds of work.

A library tool lives or dies by maintenance. RFP Response Builder gives you the mechanics: categories, roles (user, editor, admin), a review step for submitted content, and an expired-content view. Somebody still has to own it. If nobody updates the SLA wording, the library will insert last year’s SLA wording quickly and with perfect formatting.

DeepRFP’s upkeep is lighter but not zero. Its own evaluation page says it may not be the best fit for “a large, governed content library managed by many departments.” The quality of each draft depends on the reference files you upload, so stale source documents produce stale drafts. On Pro you get one company profile; consultants writing for multiple clients need Elite’s unlimited profiles.

## Integrations and stack fit

RFP Response Builder integrates where an Office-first team needs it: Word, Excel, SharePoint for file storage, and DocuSign on the Business plan. Salesforce sits on Enterprise.

DeepRFP is deliberately light on integrations. Its [evaluation page](https://deeprfp.com/deeprfp-reviews-pricing-evaluation/) lists “deep Salesforce, Slack, Teams, SharePoint, Jira, or CRM integrations” among the needs it may not fit. You move files in and out by upload and download.

## DDQs and security questionnaires

Neither is a specialist here, and it is worth being plain about it.

RFP Response Builder can insert library answers into an incoming Word or Excel questionnaire, which works fine if your security and due-diligence answers are already in the library and the questionnaire is a file rather than a portal. There are no framework mappings (SIG, CAIQ), no trust center and no portal autofill.

DeepRFP’s form-answering feature will work through an Excel questionnaire using your uploaded content, and the compliance matrix helps with long requirement lists. Its own evaluation page, though, says it may not be the right fit if “a security questionnaire automation platform” is your primary use case.

If questionnaires are more than an occasional chore, shortlist a questionnaire-first platform alongside either of these.

## A two-week evaluation plan

Both trials need no credit card, so run them in parallel on the same work.

- **Day 1:** Install RFP Response Builder on a Windows machine (check the Office version first) and create a DeepRFP account. Pick two recent RFPs: one you answered mostly from boilerplate, one with plenty of new questions.
- **Days 2 to 4:** Load 30 to 50 of your best approved answers into RFP Response Builder’s library. Upload the same answers, plus the source documents, to a DeepRFP opportunity.
- **Days 5 to 8:** Answer both RFPs in both tools. Time each from first open to submission-ready.
- **Days 9 to 10:** Have a reviewer who did not write the drafts mark errors, stale facts and formatting problems.

What you are likely to find: the boilerplate-heavy RFP goes faster in the library tool, and the new-question RFP goes faster with AI drafting. Your mix of the two tells you which to buy. DeepRFP’s trial is seven days, so start it on day 2 or 3 if you want it to cover the head-to-head.

## Onboarding and support

RFP Response Builder’s onboarding is mostly an IT task: install the add-in on each Windows desktop, create users and roles in the dashboard (the vendor says admins can send an auto-generated email with the username, password and installation links), then load the library. Premium onboarding is part of the quote-only Enterprise plan, not Business.

DeepRFP’s onboarding is a sign-up form. Its site says you can get started in under 60 seconds, and there is nothing to install. Priority support is an Elite feature. The trade-off is that nobody configures the workflow for you; the guided workflows inside each opportunity are the onboarding.

Expect DeepRFP to be usable the day you sign up. RFP Response Builder takes longer to pay off, and most of that time goes into loading and cleaning library content rather than learning the software.

## Known issues and watch-outs

All sources read in October 2026.

**DeepRFP**

- **Integrations and enterprise controls:** by its own page, not the best fit for deep CRM or Microsoft 365 integrations, SSO, advanced audit logs or security questionnaires as the main job. ([DeepRFP evaluation page, July 2026, read October 2026](https://deeprfp.com/deeprfp-reviews-pricing-evaluation/))
- **Drafts need a human pass:** three of six Capterra reviewers (June 2026) say outputs need checking against the solicitation, especially agency-specific language. ([DeepRFP on Capterra, October 2026](https://www.capterra.com/p/10028620/DeepRFP/))
- **Certifications:** DeepRFP points to the SOC 2 status of the clouds it runs on; we found no SOC 2 report or ISO 27001 certificate for the company itself. ([DeepRFP site, October 2026](https://deeprfp.com/))

## Strengths worth conceding

RFP Response Builder has been doing one thing for a long time and does it in the place proposal writers already work. Its 4.5/5 G2 rating across 56 reviews (as of July 2026) is a deeper body of feedback than most newer tools have. The vendor says users can start adding and categorizing content within an hour of downloading it, and the Word-native approach means there is little to retrain. For an IT reseller or services firm that answers similar RFPs repeatedly, a clean library inserted with correct formatting is often all the automation needed.

DeepRFP brings capabilities a library tool cannot: requirement extraction, compliance matrices, first drafts of questions you have never answered, and AI review of the result, at a price one consultant can expense. Its founder’s proposal background shows in features like the compliance matrix and color-review-style checks.

## Who should pick DeepRFP

- You are a solo consultant or a team of one or two, where RFP Response Builder’s five-seat minimum would be wasted.
- Many of your RFPs ask questions you have not answered before.
- Your team uses Macs or works in the browser.
- You want analysis and review help, not just reuse.

## Who should pick RFP Response Builder

- Your team is three or more people on Windows and Office for Windows.
- Your RFPs repeat: the same security, company and service answers come up again and again.
- You want approved wording inserted exactly, with formatting handled, rather than AI-written text.
- You have someone who will own the library and keep it current.

## Verdict

These solve different problems at similar prices. Pick DeepRFP when you need new words quickly and your team is small; its AI drafting and analysis earn their per-seat price. Pick RFP Response Builder when you need the same approved words inserted reliably inside Word and your team is on Windows; its library and formatting automation are mature and cheap per seat.

If you are torn, look at the last ten RFPs you answered and count how many questions were genuinely new. The one-liner: DeepRFP writes the first draft, RFP Response Builder fetches the approved one.
