## Security: ISO 27001, SOC 2, and regional hosting

Put PandaDoc and Proposify through the same three questions a security reviewer will ask: ISO 27001, SOC 2, and whether you can keep the tenancy in the US or the EU. Cells say **Not listed** when we could not find the claim on a public vendor page.

## Slack and Microsoft Teams

During a live questionnaire, SMEs get pinged in Slack or Teams, not in a vendor portal. Here is what PandaDoc and Proposify publish for those two connections.

## Subprocessors: the big three clouds, then the niche names

Compare PandaDoc and Proposify on AWS, Azure and GCP first. Then scan for niche processors a reviewer should pause on: third-party LLMs, session replay, or support that leaves the region you elected.

**Short answer:** Pick [PandaDoc](/pandadoc) if one tool has to carry proposals, contracts, quotes, e-signature and payments, and you want to start cheap ($19 per user per month on Starter, billed annually) or even free. Pick [Proposify](/proposify) if the proposal itself is the sales asset, you want reps locked into on-brand templates, and you need approvals that fire on discounts. The deciding facts are plan gates: PandaDoc keeps its content library, pricing tables and approvals for Business, and Proposify keeps approvals and roles for Grow, which is sold annually with five seats.

These two get compared constantly because they both produce a document a buyer signs. That is roughly where the overlap ends. PandaDoc grew into a document workflow platform used for everything from NDAs to order forms. Proposify stayed a proposal tool and spent its effort on design control and on telling you which page your prospect lingered on. Prices and plan details below were read from each vendor’s own pricing and help pages in October 2026.

One scope note before we start, because this is a directory of RFP and questionnaire software: neither tool imports a buyer’s RFP, DDQ or security questionnaire and answers it. Both are outbound. You write the proposal, they make it pretty, trackable and signable.

## Key takeaways

- **Entry price:** PandaDoc Starter is $19 per user per month billed annually ($35 monthly). Proposify Build is $35 per user per month billed annually ($49 monthly, or $147 per user per quarter).
- **Free option:** PandaDoc has a permanent Free eSign plan, capped at 5 documents a month with 2 recipients each. Proposify has a 14-day trial and no free plan.
- **The real comparison is Business vs Grow:** PandaDoc’s content library, pricing tables, quote builder, approvals and CRM integrations start on Business ($49 per user per month annually). Proposify’s approvals and user roles start on Grow ($3,900 a year including 5 seats).
- **Sending is metered on Proposify:** every plan has a monthly send limit (10, 30 or 75) with per-send overage fees from $0.30 to $0.75\. PandaDoc paid plans list unlimited sends.
- **Review standing:** PandaDoc sat at 4.7/5 on G2 from 3,592 reviews and Proposify at 4.6/5 from 1,138, both as of July 2026.
- **Limitations:** PandaDoc puts SSO and custom roles on Enterprise and sells Salesforce as an add-on. Proposify reserves Salesforce and SSO for Scale ($12,800 a year) unless you buy the Salesforce add-on, and Capterra reviewers report clunky editing.

## Two different jobs that happen to end in a signature

PandaDoc’s help-center plan table is long, and most of its rows are not about proposals. Redlining, contract negotiation, Rooms for deal collaboration, Forms, bulk send, five payment processors, renewal notifications. That breadth is the point. Operations teams adopt PandaDoc because the proposal, the order form and the contract can live in one system with one audit trail.

Proposify’s pricing page reads like it was written by someone who has had a rep change the font on the company proposal. Locked page elements, roles that control what users can edit, a product catalog so reps pull approved pricing rather than typing it, and analytics that show a timeline of when each recipient opened the document and how long they spent in each section. It is a proposal tool for teams that treat the proposal as a branded, controlled asset.

In practice that splits buyers cleanly:

- If your sales cycle ends in a contract that legal redlines, PandaDoc covers more of the path.
- If your sales cycle is won or lost on a designed proposal, and the sales manager cares about discount discipline, Proposify is built around exactly that.

## What each plan actually gets you

This is where most buying mistakes happen, because both vendors advertise a low per-user number that leaves out the features most teams buy them for.

**PandaDoc**, per its plan comparison article in October 2026:

- **Free eSign ($0):** upload a file and get it signed, 5 documents a month, 2 recipients per document.
- **Starter ($19 annually, $35 monthly):** drag-and-drop editor, unlimited e-signatures, Word import and export, up to 5 reusable templates, Stripe payments, audit trail. No content library, no pricing tables, no approvals, no document analytics, and no CRM integrations.
- **Business ($49 annually, $65 monthly):** unlimited templates, content library, quote builder, pricing tables and product catalog, approvers and approval order, document analytics and reporting, custom branding, auto reminders, CRM integrations except Salesforce, and more payment processors (PayPal, Square, QuickBooks Payments, Authorize.net).
- **Enterprise (contact sales):** SSO, custom roles, webhooks, conditional approvals included, CPQ workflows as a paid option.

**Proposify**, per its pricing page in October 2026:

- **Build ($35 annually, $49 monthly):** unlimited documents and signatures, content library, AI writing plus an MCP server, document insights, integrations and automations, product catalog. 14-day trial, no card.
- **Grow ($3,900 a year, 5 seats included, $780 per extra seat):** adds user roles and permissions, approval workflows, account metrics, custom fields and variables, and API access.
- **Scale ($12,800 a year, 10 seats included, $780 per extra seat):** adds the Salesforce managed package, SSO through providers such as Okta and Azure, multiple workspaces, custom reporting and premium onboarding.

The comparison most buyers should make is PandaDoc Business against Proposify Grow, because that is where content libraries, approvals and analytics live on both sides. Comparing the $19 and $35 entry plans tells you very little.

## Pricing and total cost

Let us price a five-rep sales team that needs a content library, approvals and CRM sync. Annual billing, list prices as of October 2026.

| Setup | PandaDoc | Proposify |
| ------------------------------ | --------------------------------------------------------- | ----------------------------------------------------------------------------- |
| 5 users, library and approvals | Business: 5 x $49 x 12 = $2,940 a year | Grow: $3,900 a year (5 seats included) |
| 10 users, same features | Business: $5,880 a year | Grow: $3,900 + 5 x $780 = $7,800 a year |
| 10 users with Salesforce | Business plus the Salesforce add-on (price not published) | Scale: $12,800 a year, or Grow plus the $9 per user per month add-on ($8,880) |
| SSO | Enterprise only (quote) | Scale |

On list price, PandaDoc is cheaper at every size in that table, and the gap widens as you add users. Two things can close it.

First, Proposify meters sends. Its pricing page lists 10, 30 and 75 included sends a month across its tiers, with overage of $0.50, $0.30 and $0.75 per send. Drafting and editing are unlimited, and a send only counts when a proposal goes to a client. A team sending a few dozen proposals a month will rarely notice. A high-volume inside sales team should do the math before signing.

Second, PandaDoc’s add-ons stack. Salesforce sync is a paid add-on on Business and Enterprise, per its help center, and so are conditional approvals, bulk send, Forms and redlining on Business. None of those add-on prices are published. If your requirements list includes three of them, you are in a sales conversation either way, and the clean Business number stops being the real number.

Proposify also sells design help: custom template design for $1,500 and a Launch Kit (onboarding, a custom template and 30 days of priority support) for $2,000\. That is worth it if you do not have a designer, because a design-first tool with an ugly template is the worst of both worlds.

## Approvals, control and the discount problem

If you run a sales team, the most expensive line in any proposal is the discount a rep gave away at 5pm on the last day of the quarter. Here the two tools diverge in a useful way.

**Proposify’s approval workflows** are condition-based out of the box on Grow: you set rules on price total, discount percentage and line-item discount percentage, and the proposal needs sign-off from a given role before it can go to the buyer. Combine that with locked page elements and role-based editing, and a rep can change the client name and the quantity but not the terms or the layout.

**PandaDoc Business** gives you approvers, approval order and approver groups. Conditional approvals, the kind that only trigger when a discount crosses a threshold, are a paid add-on on Business and included on Enterprise, according to PandaDoc’s help center. Content locking is also an add-on on Business. So PandaDoc can do the same job, but it costs more than the headline Business price to get there.

For a manager who mainly wants discount guardrails, Proposify gets you there on its mid tier. For a team where approvals are mostly legal and finance reviewing contracts, PandaDoc’s broader document controls (redlining, negotiation, version history) fit better.

## Integrations, payments and analytics

Both connect to the usual sales stack, with different gates.

- **CRM:** PandaDoc lists CRM integrations other than Salesforce from Business, with Salesforce sync as a paid add-on on Business and Enterprise. Proposify includes integrations from Build, while its Salesforce managed package is a premium integration included on Scale or sold at $9 per user per month.
- **Payments:** PandaDoc supports Stripe on Starter and adds PayPal, Square, QuickBooks Payments and Authorize.net on Business. Proposify processes payments through Stripe.
- **Analytics:** PandaDoc’s document analytics with status tracking start on Business. Proposify’s document analytics, a per-recipient timeline of opens and time spent per section, are part of the core product, and account-wide metrics (time to first view, time to close by user) arrive on Grow.
- **AI:** Proposify’s plans include AI writing and an MCP server for connecting Proposify to Claude. PandaDoc’s plan comparison does not list an AI writing feature by plan, so ask what is included. Neither drafts answers to a buyer’s questionnaire from a knowledge base.

If section-level reading data changes how your reps follow up (“they spent four minutes on pricing and skipped the case study”), Proposify’s analytics are a genuine reason to choose it.

## Trials, setup and who helps you

Both let you try before you talk to anyone, with different limits on what you can test.

**PandaDoc’s trial** is 14 days, and its help center notes that during the trial you can send up to 50 documents with up to 5 recipients each if you sign up with a business email (5 documents with 3 recipients on a personal email). That is enough to run a real week of deals through it. The permanent Free eSign plan is a separate thing: signatures only, 5 documents a month.

**Proposify’s trial** covers Build for 14 days with no card. The catch is that the features most managers are buying (roles, approval workflows, account metrics) sit on Grow, which you get through a demo rather than a self-serve trial. So test the editor, templates and analytics yourself, and ask the sales team to show the approval rules on your own pricing.

Support differs too. Proposify publishes its support hours: email and chat Monday to Thursday 8 AM to 8 PM Eastern and Fridays 8 AM to 4 PM, with a dedicated success manager and priority support on Scale. Collaborators (people who can edit or approve specific proposals but not create or send) are included at 1, 3 and 5 across its tiers. PandaDoc’s support model by plan is not laid out in the comparison article we checked, so ask during the trial.

The honest setup advice is the same for both: build one real template before you judge either tool. A proposal tool demo with a sample template always looks great. Your own pricing table, legal terms and logo are where the friction shows up.

- **Starter is thin for proposals:** no content library, pricing tables, approvals, document analytics or CRM integrations, and a 5-template cap, per PandaDoc’s [plan comparison](https://support.pandadoc.com/en/articles/9715033-compare-subscription-plan-features) (checked October 2026).
- **Salesforce costs extra:** the Salesforce two-way sync is a paid add-on available on Business and Enterprise annual plans, per its [help center](https://support.pandadoc.com/en/articles/9714863-salesforce-2-way-sync) (checked October 2026).
- **Enterprise-only admin controls:** SSO and custom roles appear only on Enterprise in the [plan comparison](https://support.pandadoc.com/en/articles/9715033-compare-subscription-plan-features), and conditional approvals are a paid add-on below Enterprise per its [conditional approvals article](https://support.pandadoc.com/en/articles/16442466-conditional-approvals-with-quotes-new-experience) (checked October 2026).

### Proposify

- **Metered sends:** every plan includes a monthly send limit with per-send overage fees, per its [pricing page](https://www.proposify.com/pricing) (checked October 2026).
- **Control features start at five seats:** roles, approval workflows and API access begin on Grow, sold annually at $3,900 with 5 seats; Salesforce and SSO need Scale or a paid add-on, per its [pricing page](https://www.proposify.com/pricing) (checked October 2026).
- **Editing friction:** [Capterra reviews](https://www.capterra.com/p/133332/Proposify/reviews/) from September 2024 to April 2026 describe clunky editing, Word content that formats badly when pasted in, and pricing that feels high for small teams (checked October 2026).

## Choose PandaDoc when

- You want one tool for proposals, contracts, order forms and payments, with a single audit trail.
- You need to start free or very cheap, and a solo user or two can live within Starter’s 5 templates.
- Legal or finance redline and negotiate the contract inside the same document flow.
- Your team is growing seat by seat, and a five-seat annual minimum would mean paying for empty chairs.
- You collect payment at signature through PayPal, Square or QuickBooks Payments, not just Stripe.

## Choose Proposify when

- The proposal is your main sales asset and you want reps locked into an on-brand, designer-built template.
- Your sales manager wants approvals that trigger on discount percentage or price total without buying an add-on.
- Per-section read data will actually change how your reps follow up.
- You have at least five people who send proposals, so Grow’s included seats are not wasted.
- You want an MCP server so proposals can be created or updated from an AI assistant.

## Verdict

These tools solve overlapping but different problems. PandaDoc is the better fit when the document workflow is wider than proposals, and it wins clearly on entry price and on a real free plan. Proposify is the better fit when the proposal is the product your sales team ships, and it wins on design control, discount-based approvals at its mid tier, and read analytics.

Run the trial with a real deal on each. On PandaDoc, trial the Business features you will actually need and ask what each add-on costs. On Proposify, count last month’s sent proposals against the send limits. The tool that still fits after those two numbers is your answer.

## Frequently asked questions

What is the difference between PandaDoc and Proposify?

PandaDoc is a general document platform: proposals, contracts, quotes, e-signature and payments, with a free e-sign plan and per-seat paid tiers. Proposify is a narrower, design-led sales proposal tool with locked templates, section-level read analytics and approval rules based on price and discount. Neither answers RFPs, DDQs or security questionnaires.

Which is cheaper, PandaDoc or Proposify?

At list price PandaDoc starts lower: Starter is $19 per user per month billed annually, against $35 for Proposify Build, as of October 2026\. Once you need approvals, the gap narrows: PandaDoc Business is $49 per user per month annually (about $2,940 a year for five users) and Proposify Grow is $3,900 a year with five seats included.

Which has better approval workflows, PandaDoc or Proposify?

Proposify's approval rules on Grow and Scale trigger on price total, discount percentage and line-item discount, which is what sales managers usually want to police. PandaDoc Business adds approvers, approval order and approver groups, while conditional approvals are a paid add-on on Business and included on Enterprise.

Do PandaDoc and Proposify integrate with Salesforce and HubSpot?

Both do, with plan gates. PandaDoc connects to CRMs other than Salesforce from Business, and Salesforce is a paid add-on on Business and Enterprise. Proposify lists CRM integrations from Build, while its Salesforce managed package is included on Scale or sold as a $9 per user per month add-on.

Can I try PandaDoc or Proposify for free?

Yes. PandaDoc has a permanent Free eSign plan (5 documents a month, 2 recipients each) plus a 14-day trial of paid features. Proposify offers a 14-day trial of Build with no card required, but Grow and Scale are sold through a demo.

Should I choose PandaDoc or Proposify?

Choose PandaDoc if the same tool also has to run contracts, payments and quotes for a team that buys seat by seat. Choose Proposify if proposals are your main sales asset, design consistency matters, and you want discount-based approvals and per-section read data.

Do PandaDoc and Proposify list ISO 27001, SOC 2, and US or EU hosting?

PandaDoc: ISO 27001 Not listed, SOC 2 SOC 2, US Not listed, EU Not listed, Slack Slack, Teams Not listed, clouds Not listed. Proposify: ISO 27001 Not listed, SOC 2 SOC 2 Type II, US Not listed, EU Not listed, Slack Not listed, Teams Not listed, clouds Not listed. Confirm both on the vendor sites.
