# 10 Proposal and RFP software for sales teams

Two different things get called proposal software. Proposal builders create branded proposals, quotes and contracts with e-signature and tracking. Response tools answer the buyer’s RFP and questionnaires. Most reps need the first, and enterprise sellers end up needing both.

## What sales teams need from proposal software

A proposal builder is about speed and polish: templates, pricing tables, e-signature and a notification when the buyer opens the document. Interactive web proposals and digital sales rooms add engagement data and a shared space for the deal.

Quoting gets harder as the catalog grows. If reps configure products and discounts that need approval, a CPQ or quoting tool keeps prices consistent, and a few proposal tools include one.

Enterprise deals add buyer paperwork: security questionnaires, RFP spreadsheets and follow-up questions in email. Tools that answer from approved content, in the questionnaire or in Slack, keep reps from improvising answers to technical questions.

## How sales teams should choose proposal software

- **Templates and brand:** Locked template elements stop reps from redesigning the proposal for every deal.
- **Pricing and approvals:** Discounts above a threshold should route for approval before the buyer sees them.
- **Signing and payment:** E-signature and payment collection in the same document shorten the last mile.
- **Engagement data:** Section-level view data tells you what the buyer read. Check what the entry plan includes.
- **Buyer questions:** If security questionnaires slow your deals, add a response tool rather than stretching the proposal builder.

## What this list does not prove

A listing here means the vendor’s material names sales teams as its users. It does not confirm a fit for your CRM, catalog size or signing requirements. Rebuild your most-sent proposal in the trial.

We list a tool only when its published profile supports the fit, and we publish a page only once at least three tools qualify. Read the [research and scoring methodology](/methodology) or [send a correction](/contact).

## Frequently asked questions

What is the best proposal software for sales teams?

For branded proposals with e-signature, compare PandaDoc, Proposify, Qwilr and Proposable. For complex pricing, DealHub and QuoteWerks focus on quoting. GetAccept builds the proposal into a digital sales room, and 1up answers buyer questions from your knowledge.

Is there free proposal software for sales teams?

PandaDoc has a free eSign plan for basic e-signatures, and many of the paid proposal tools here offer a free trial. The free trial page lists current terms with the date each was checked.

Do sales teams need CPQ?

If reps configure products, apply discounts that need approval, or quote across many SKUs, yes. DealHub and QuoteWerks handle configurable pricing, while simpler catalogs fit a proposal builder’s pricing table.

What is a digital sales room?

A shared online space where buyer and seller keep the proposal, quote, contract and mutual action plan for a deal. GetAccept and DealHub both include one.

How should a sales team trial proposal software?

Rebuild your most-sent proposal in each tool, including the pricing table and signature step. Send it to a colleague and check what the engagement data actually tells you.
