## Compare the billing unit before the price

A per-seat price depends on who needs a paid account. Per-project pricing depends on what counts as a project and whether the limit is annual or concurrent. Usage-based plans need a defined unit, such as answers, documents, pages, or credits. Flat-rate plans still need their fair-use, storage, integration, and support limits checked.

## Calculate year-one and renewal cost

Add the base subscription, paid users, expected overages, modules, integrations, security add-ons, implementation, migration, training, and support. Then calculate renewal separately, with one-time services removed and expected volume updated. A low entry price can still be the expensive option if contributors need extra seats or every file needs manual cleanup.

Normalize the same users, annual response volume, AI usage, modules, integrations, security controls, implementation, training, support, contract term, and renewal terms for every vendor.

What does quote-only pricing mean?

Quote-only means the vendor does not publish enough current information to calculate the production cost. Ask for separate platform, user, usage, module, implementation, support, and renewal line items.

Why does the billing unit matter?

Per-seat, per-project, flat-rate, and usage-based plans charge for different parts of the workflow. Map your real users, projects, documents, answers, and peak usage to each model before comparing headline prices.

Should teams compare year-one or renewal cost?

Compare both. Year one can include implementation, migration, template setup, and training. Renewal can change with volume, support, modules, and contracted price increases.
