# Thalamus AI review: pricing, features and alternatives (2026)

## Quick answer

Thalamus AI is AI-native RFP, DDQ, security questionnaire and proposal software for proposal teams that want bid qualification, compliance tracking and SME review in one AI workspace, not only faster drafting. Thalamus AI does not publish a price, so buying is quote-only. Check before buying: Capterra and Product Hunt both showed zero user reviews in October 2026, so there is little independent evidence yet.

## The verdict

Thalamus AI is trying to be the whole bid desk, not just the drafting button. Most AI-native tools in this directory start when the RFP lands and stop when the answers are written. Thalamus starts earlier, with go/no-go scoring and a risk register, and it keeps going through review gates and addenda. If your losses come from chasing the wrong bids or missing a buried requirement, that pitch is aimed squarely at you.

The catch is that it is very new and very quiet. Its current Product Hunt launch is dated February 2026, there is no public price, and when I checked in October 2026 neither Capterra nor Product Hunt had a single user review. Everything below comes from Thalamus’s own pages and legal documents, plus those third-party listings. None of it comes from hands-on use, so treat the feature list as claims to verify in a demo.

Who I’d hand it to: an enterprise proposal manager running long narrative RFPs with a dozen contributors, who wants qualification and compliance tracking in the same workspace as drafting. Who I’d steer elsewhere: a two-person team that wants to sign up tonight and answer a security questionnaire tomorrow.

## What Thalamus AI actually is

Thalamus calls itself an “AI-Native RFP & Proposal Platform” for “proposal teams who strategize to win.” The company behind it is Thalamus AI, Inc. Its terms are governed by Delaware law, and the only address on the site is in Lewes, Delaware. The about page names three co-founders (Bipul V, Harpreet S and Sudhanshu B) and describes their background in AI and enterprise software, without surnames or prior employers.

Product Hunt shows two launches: one in February 2025 and the current one on February 4, 2026, billed as the “First Agentic AI RFP Software Powered by 20+ AI Agents.” The terms of service describe it the same way, as a prompt-based, multi-agent SaaS platform built on 20+ specialized agents. The footer says 2,000+ users, which is Thalamus’s own figure.

The homepage shows customer logos from AGS Health, Whatfix, R1 and EBC (plus Blueribbon Management Consultants). I did not find a published case study behind any of them. The solution pages also carry headline multipliers, a 2.5x win-rate increase among them, without naming the customer or the method behind the number. Ask for both.

## How the bid lifecycle works

The product is organised around the full bid, and the early stages are where it differs most from its peers.

**Before you write.** Thalamus says it scores each opportunity for bid/no-bid against your own criteria, calibrated to your historical wins and losses. It pre-fills a clarification register with likely buyer ambiguities before your team has read the RFP. A risk register flags delivery and timeline risks, seeded from your past bid history. If your team currently qualifies bids in a spreadsheet and a hallway conversation, that is a real step up, assuming the history it learns from is any good.

**Shredding and the compliance matrix.** On upload, AI agents tag requirements and evaluation criteria, then map each one to an owner and a proposal section. Thalamus calls the result a “living index.” The useful part is addendum handling: when the buyer changes a requirement mid-cycle, the platform says it flags the response sections that depend on it. Anyone who has submitted against the wrong version of Section L knows why that matters.

**Coordination.** You can assign SMEs at the proposal, section or subsection level, with Author, Reviewer and Commenter roles. Every edit is auto-versioned, so you can accept or revert any change. Review gates run from SME input through legal review and pricing approval to final review and submission. That is closer to a proposal management suite than to a questionnaire filler.

**After you submit.** Win and loss outcomes, along with reviewer comments, feed what Thalamus calls an “institutional memory graph.” Thalamus says it applies that memory to the next bid’s scoring and drafting. The claim is that the platform compounds with every submission. That is a hard claim to test in a two-week pilot, so focus your evaluation on the parts you can see.

## How drafting and the knowledge base work

Thalamus is explicit that it does not search your raw documents. It converts them into structured, editable “knowledge entities”: past projects, personnel CVs, corporate experience and case studies. Drafts are then built from that verified layer, and the homepage says every AI-generated answer is cited back to it. Teams can flag, update and approve content with an audit trail.

The RFP page says it drafts the narrative sections too: cover letter, executive summary, technical approach and compliance sections. The DDQ page adds staleness detection. When an underlying fact changes, such as an AUM figure or a revised policy, Thalamus says it finds every answer across the library that relies on it and flags those answers for review. For a fund answering 10 to 20 investor DDQs at once (the scenario its own DDQ page describes), that is the feature to test first.

For security questionnaires, the page names CAIQ and SIG plus NIST-based assessments, plus HIPAA and GDPR questionnaires. A browser extension fills answers inside vendor risk portals, and the page names OneTrust and SecurityScorecard alongside Prevalent and Archer. RFI portals get the same treatment on the RFI page. Thalamus also says it supports 45+ languages.

One thing to raise in the demo: the accuracy claims do not agree with each other. The terms say responses are pre-filled “with up to 95% accuracy,” while the DDQ page says “99.5% accuracy across 45+ languages.” Neither says how accuracy was measured. Ask which number is current and what it counts.

## Security and compliance posture

Dialing the jokes down here. The homepage says Thalamus is “built on ISO/IEC 27001:2022, and SOC 2 Type II certified infrastructure,” with role-based access control, audit trails, SSO and MFA. The solution pages describe “ISO 27001 and SOC 2 Type II certified data governance.” Its trust center, which runs on Sprinto, lists ISO 27001 v2022 and SOC 2 as “Compliant.” It also offers ISMS documents and a system description, all behind a request-access form.

The wording matters. “Built on certified infrastructure” can mean the cloud provider holds the certificate rather than the vendor. The trust center reads as Thalamus’s own compliance, but it does not name the SOC 2 type or show an auditor. Request the SOC 2 report and the ISO certificate with its scope statement before you treat either as settled.

The terms list a multi-tenant, zero-trust architecture with AES-256 encryption in transit and at rest. You keep ownership of uploaded data, and Thalamus takes a license to use it solely to provide the service. It may track usage metadata to improve the product. I did not find a hosting region, a named cloud provider or a subprocessor list on the public site, and the privacy policy says only that the company is US-headquartered and may use providers in other countries. If you need EU residency, ask directly.

## Pricing and how to buy it

There is no price list. The pricing page calls the model “ROI-based” and says plans are configured around your RFx volume and team size, plus workflow complexity and the integrations you need. The button says “Get My Pricing Recommendation,” and every other call to action books a calendar slot with a co-founder.

The pricing FAQ is more useful than the headline. Thalamus says it does not charge per seat, and that unlimited users and projects are included in the subscription. It says there are no per-response or usage-based charges either. For a bid team that pulls in legal and finance plus a rotating cast of SMEs, that removes the usual argument about who gets a license.

The FAQ also mentions a 3-month pilot pack for teams that want to validate the product on real RFP work before a longer commitment. Capterra lists a free trial and “Contact vendor for pricing.” Do not confuse either with a free plan: the site’s calls to action are a demo booking or a login link, and I found no self-serve signup path.

## Where it falls short

- **No published prices.** You learn the number on a call, and you cannot budget before you talk to sales.
- **Almost no independent reviews.** Capterra and Product Hunt both showed zero user reviews in October 2026\. Logos without case studies are not much to go on.
- **Vendor-friendly terms.** The terms let Thalamus update or discontinue any part of the service at any time and cap its liability at 12 months of fees. Standard for a startup, but worth redlining on an enterprise contract.
- **Claims outrun the evidence.** Mismatched accuracy figures and unattributed multipliers mean you should expect to do your own validation.

## Who should shortlist it, and who should skip it

Shortlist Thalamus AI if:

- You run long narrative RFPs where qualification and compliance tracking matter as much as drafting.
- Addenda regularly break your responses and nobody notices until the night before.
- Your reviewers span legal and pricing as well as SMEs, and seat-based pricing keeps them out of the tool.
- You are comfortable being an early customer and can negotiate a pilot.

Skip it if you need a published price and a self-serve trial this week. Skip it too if your procurement team requires a long reference list or a public subprocessor list before a pilot, because neither is on the site today.

## How it sits next to its peers

**Thalamus AI vs [Loopio](/loopio).** Loopio is the library-first veteran. Its tagged, versioned library and review cycles are what big teams lean on daily, and it has hundreds of G2 reviews where Thalamus had none on Capterra or Product Hunt when I checked. Thalamus goes further upstream, with bid/no-bid scoring and addendum tracking that Loopio does not center its pitch on. It also does not charge per seat, where Loopio’s entry plan comes with 10 seats. Pick Loopio for maturity and a proven library. Pick Thalamus if qualification and compliance tracking are the gap.

**Thalamus AI vs [Responsive](/responsive).** Responsive covers intake through submission with a deep integration catalog and named enterprise customers. Its Emerging edition starts at a $10,000 platform fee with licenses on top. Thalamus pitches a similar breadth with an AI-first design and unlimited users, but with a fraction of the track record. If your procurement team needs a vendor with a long customer list, Responsive wins. If you want to bet on a newer workflow, Thalamus is the more ambitious bet.

**Thalamus AI vs [Arphie](/arphie).** Both are AI-native and both quote privately. Arphie drafts from live connections to Google Drive, SharePoint and Confluence (plus Notion, Seismic and Highspot), shows a confidence score with each answer, and holds SOC 2 Type 2\. Thalamus converts content into structured entities instead and adds bid strategy on top. Presales teams answering questionnaires from scattered drives should lean Arphie. Proposal teams running long bids with formal review gates should lean Thalamus.

**Thalamus AI vs [AutoRFP.ai](/autorfp-ai).** AutoRFP.ai is the accuracy-first tool for writing winning responses in a workflow that is easy to run: it traces each line of a draft to a source and exports answers back into the buyer’s original file. It also publishes flat pricing from $899/mo with unlimited users, holds ISO 27001 and SOC 2 Type II, and offers US or EU hosting. Thalamus’s strength is more around the response (bid scoring and addendum tracking), but you cannot see its price or hosting region without a call. If you want structured RFPs and DDQs written to win, with accuracy you can check and a workflow that is easy to run, AutoRFP.ai is the fit. If the bid lifecycle is the problem, Thalamus is the one to demo.

## What to test in a demo or pilot

Thalamus invites you to bring a live RFP, so do exactly that.

1. **Score a bid you already decided.** Feed it a past opportunity you won and one you lost. Does the go/no-go score agree with what happened, and can it explain why?
2. **Shred a real RFP** with a nasty Section L and M equivalent. Check the compliance matrix against your own manual one, line by line.
3. **Issue a fake addendum.** Change two requirements mid-cycle and see whether the right sections get flagged.
4. **Check the citations.** Open ten drafted answers and confirm each citation points to the passage that supports it.
5. **Change a fact upstream,** such as a headcount or certification date, and see which answers get flagged as stale.
6. **Run a portal.** If you receive OneTrust or Archer assessments, watch the extension fill one.
7. **Get the paperwork.** Ask for the SOC 2 report, the ISO certificate with scope, the hosting region and the subprocessor list. Ask whether customer data is used to train models.
8. **Price the pilot.** Get the 3-month pilot pack in writing, including what happens to your data if you walk away.

The bottom line: an ambitious, bid-lifecycle take on AI-native RFP software that is worth a pilot for enterprise proposal teams, as long as you treat its claims as hypotheses and its paperwork as homework.
